For the biggest EU agency providing services regarding GPS/GNSS technologies, we are currently looking for suitable candidates for the role of Administrative Support with English. This role will be oppened for 12 months.

Professional experience in an administrative/secretarial support role is needed. Experience in drafting and formatting documents (e.g. correspondence, reports) in English. Experience in dealing with travel, accommodation requests and reimbursements and proficiency in the use of Microsoft office are also essential. Experience in working in an international environment and familiarity with EU public administration is an advantage.

Job description:

- Providing general administrative and organisational support to any activities of the department, including assistance related to financial, human resources, IT and facilities management tasks
- Providing appropriate support to the organisation of internal and external meetings and events
- Facilitate internal communication and sharing of information within the team
- Support the integration of new team members, allocation of offices within the department
- Administrative support to the Head of the Department and team members
- Management of mails and department correspondence through functional mailbox. Follow up on relevant correspondence actions. Preparations of reports
- Provide programme management assistance, managing documentation and its archiving
- Handling travel and accommodation arrangements and processing reimbursement claims in accordance with applicable rules. Supporting and preparation of the Galileo mission budget
- Supporting the Department’s processes and workflows
- Handling confidential and classified information
- Performing other tasks relevant for the job
